Travel
Travel is defined as a trip a club is taking which is off-campus.
FORMS TO SUBMIT BEFORE TRAVELING
1) Submit the SAO Student Travel Form to the SAO, W20- 549, [email protected] to arrange pre-payment of travel reservations.
2) Email the Club Sports Travel Itinerary (excel doc) to the Club Sports Office, [email protected] no later than 5:00pm, 2 business days prior to leaving campus

- Include [Team Name, departure date] in subject line of email
- Failure to submit Travel Itinerary will result in i) courtesy reminder after 1st offense, ii) $25 fine after 2nd offense, iii) $100 fine for each subsequent offense.
GENERAL TRAVEL GUIDELINES
Busses are the safest way for large groups to travel and should be used when economically feasible. When chartering a bus for the first time, please contact MIT's Procurement Office. They may be able to provide advice on reputable companies, and they can verify that a vendor has sufficient insurance to meet MIT's requirements. You can research bus company safety records here.
Car Rentals Budget and Avis are MIT's preferred car rental vendors. If renting cars for official MIT Club Sports business, there is no surchage for drivers between the ages of 18 and 24. You must use MIT's corporate account number when making the reservation.
Due to their poor safety record, 15-passenger vans are not allowed. When renting vehicles, cars and minivans are preferred because they are insured directly by MIT's preferred vendors.
